As a leading provider of electronic communication tools that use the WWW to share information, Infoxchange Australia (IXA) recognises the importance of protecting the privacy of all individual users of its systems and services and protecting the security of information held on clients
Security of communications and transactions over the Internet is of prime concern for IXA, and strenuous efforts are made to protect the privacy of all information provided by users of IXA web sites, subscribers to IXA Infocasts, registrants for all managed Intranets and users of IXA ISP services.
The present privacy statement discloses the privacy practices in relation to all applications and services developed and maintained by IXA.
INFORMATION COLLECTION AND USE
IXA does not collect any personal information from a visitor to its site unless
that visitor explicitly and intentionally provides it.
Registration and Ordering
In order to gain full benefits from IXA websites and applications users are
required to register. During registration, users are required to give their
contact information (such as name, e-mail address, mailing address and phone
number). IXA may also collect demographic information (such as job title and
responsibilities, organisation information and professional certification).
For internal purposes, this information is used to communicate with users and
provide requested services, and, for website visitors, to provide a more personal
experience on IXA sites. IXA uses aggregate demographic information about its
audience to improve its service, for marketing purposes and/or industry reporting
purposes.
For services that require payment (such as Green PC), IXA also collects credit card information ( account name, number and expiration date), which is used for billing purposes only and is not otherwise shared.
Infocasts
If users wish to subscribe to IXA e-mail Infocasts, they are asked for e-mail
contact information. This information is used for the sole purpose of sending
the information requested. This is an automated process. Recipients of IXA newsletters
can unsubscribe using the instructions listed at the end of the e-mail newsletter.
Online Forms
From time to time IXA may invite users to provide information via online forms.
Participation in these surveys is completely voluntary and the user therefore
has a choice whether to disclose requested information (such as name and mailing
address) and demographic information (such as postcode or job title).
Interactive Services
IXA offers interactive features and applications such as discussion boards and
chat rooms. All personal information sent or posted via such features becomes
public information for which IXA accepts no responsibility.
Infoxchange Service Seeker
IXA maintains an extensive database of health, welfare and community support
services. This information is accessible on the Internet as a free public service
and on CD-ROM by subscription. The details held on agencies and practitioners
and the services they provide is gathered, structured and presented according
to the IXA ISS database system. The information is sourced from the agencies
via direct contact, telephone or mail or by completion of an online form by
the agency or practitioner. At the point of contact agencies and practitioners
are made aware that the information sought will be published on the Internet.
Online Case and Client Management Applications
IXA maintains online case and client management applications for networks of
health, welfare and community support services to allow cooperative service
delivery and development.
On sites where client detail is stored encryption of information between the
user and IXA is provided by the highest industry standard 128-bit SSL encryption
technology. This helps to ensure that communication between IXA and its users
is secure. In addition, robust firewall technology is employed to protect IXA's
internal systems and users' information against intrusion via the Internet.
All systems IXA build ensure that human service practitioners are reminded of their obligations, under both law andrelevant professional codes of practice, to gain express, informed and current consent of service users for the storage and retrieval of personal information. . Best practice is reinforced in these systems by the use of reminders, examples and embedded protocols that alert practitioners to their responsibilities to gain consent before adding or sharing personal information and to maintain responsible practices for confidential password management. All transactions in these systems are time/date stamped and recorded by a server audit trail.
When collected, all information is stored on IXA secure servers based in Connect Internet Solution's world-class secure telehousing facility in Melbourne's Stock Exchange Building.
Communications with IXA
IXA has features that allow users to submit informationsuch as help forms. Requests
for service, support or information may be forwarded as needed to best respond
to a specific request. IXA may retain for its internal administrative purposes
and to help it improve its services any e-mails and other information sent to
it. This information is not provided to any outside organisation.
Communications from IXA: Service Updates, Special Offers
In order to best serve its users, IXA may send updates that contain important
information about its sites and services. For example, new members are sent
a welcoming message, and verification of password and username for password-protected
sites. IXA may also communicate with a user to provide requested services and
for account-related issues via e-mail, phone,fax or regular mail.
Statistical Information
IXA computers automatically collect statistics about visits to its site. This
information does not includepersonalinformation but only information about the
visit. IXA may collect statistics such as how many people visit its site, users'
IP addresses, which pages people visit, from which domains visitors come and
which browsers people use. These statistics are used for aggregation purposes
onlyand to help improve the performance of IXA services.
IXA uses "cookies," a piece of data stored on the user's hard drive
containing information about the user. Cookies benefit the user by requiring
login only once, thereby saving time while on the site. If users reject the
cookies, they may be limited in the use of some areas of the site.

Demographic information supplied by a subscriber at registration may be combined
with site usage data to provide general profiles, in aggregate non-personally
identifiable form, about users and their preferences in the content of the site.
This composite information may be used in advertising and may be shared with
partners, current and prospective, to help them better understand IXA services.
WITH WHOM INFORMATION IS SHARED
Personally identifiable information is not shared with other companies or organisations,
apart from those with whom we have partnership agreements in providing our productsor
services, and which agree to use it only for that purpose and to keep the information
secure and confidential. IXA will disclose information it maintains when required
to do so by law, for example, in response to a court order or a subpoena or
other legal obligation, in response to a law enforcement agency's request, or
in special cases when IXA has reason to believe that disclosing this information
is necessary to identify, contact or bring legal action against someone who
may be causing injury to or interference with (either intentionally or unintentionally)
IXA rights or property.
IXA may share aggregate information, which is not personally identifiable, with
others. This information may include usage and demographic data, but will not
include personal information.
CORRECTION/UPDATING PERSONAL INFORMATION
If a user's personally identifiable information changes (such as phone number),
or if a user no longer requires products orservices, IXA provides a way to correct
or update that user's personal data. The user should contact User Support for
the applicable product or service.
SECURITY
IXA supports secure online transactions using secure server technology or Secure
Socket Layer (SSL). The secure server technology used in IXA applications that
require information to be provided about clients encrypts personal information
before it is transmitted over the Internet. That means information such as name
and address is protected in a secret code during transmission. This technology
works best when the store site is viewed using a browser that supports secure
server technology.
In addition, access to all of users' information, not just the sensitive information
mentioned above, is restricted. Only employees who need the information to perform
a specific job (for example, an account officer or a User Support Officer) are
granted access to personally identifiable information.
Finally, the servers on which IXA stores personally identifiable information
are kept in a secure environment and are monitored twenty-four hours a day,
seven days a week.
